Planning Ahead - Designing Ministry Opportunities For the Parish

develop an objective for the MINISTRY opportunity.

what do you want to accomplish? 
what do you hope the outcome will be? 
what are your expectations?

identify the tasks, duties, and responsibilities of the opportunity.

as a volunteer, what’s the person going to do? 

determine the qualifications and skills needed.

what’s it going to take to MEET THE OBJECTIVE? 
what talents, experience AND PERSONAL QUALITIES DOES THE PERSON NEED? 

develop a training program.

what can you do or tell the volunteer so they’ll be able to fill the role? 
when will you do the training? 
who will do the training?

determine who will mentor the volunteer.

who will give support, answer questions, encourage, receive feedback, evaluate, connect with the volunteer?

determine the time frame of the MINISTRY opportunity.

is it long-term, short-term, reoccurring?

draft a role description.

complete the role description worksheet. 
name the MINISTRY role and fill in the other information. 
when you are satisfied with the role description, prepare a final copy.

recruit the volunteer

pre-planning and a good role description will help you.  clear descriptions given before people make  a commitment will help them understand how they will use their time and talent.

talk with the volunteer

do they understand the committment and your expectations?
what are their expectations, their questions?

match the volunteer with the MINSITRY opportunity.

is the opportunity the best way for the volunteer to use his/her gifts?  will the oppportunity enable the volunteer to use his/her GIFTS for the good of the parish and the whole church?

place the volunteer in the assignment.

who will be there to greet the volunteer the first day? 
does the volunteer know where to go ?

recognize and retain the volunteer.

how will you recognize the volunteer on an on-going basis -- thank yous, inclusion, listening? 
will there be an annual formal recognition? 
will the volunteers know they are cared for?  how? 
how will you evaluate the volunteer's performance? 
what criteria will you use? 
if the volunteer decides to withdraw, is there an exit interview plan in place to gather feedback about the MINISTRY PROGRAM?
